How to Convert Apple Pages to Word or PDF

Apple Pages is Mac/iOS’s word processor. Its native format (.pages) doesn’t open in Microsoft Word, Google Docs, or anywhere else outside the Apple ecosystem. To share a Pages document widely, you need to convert.

On Mac: Export via Pages

If you have Pages installed (it’s free on every Mac):

1. Open the .pages file in Pages
2. File → Export To
3. Choose Word (for .docx), PDF, EPUB, or Plain Text
4. Click Next, pick a location, save

The exported file works in Word, Google Docs, or anywhere appropriate to the format.

On iPhone or iPad: Export via Pages

The mobile Pages app:

1. Open the file
2. Tap the three-dot menu (top right)
3. Tap Export
4. Choose PDF, Word, EPUB, or Pages
5. Choose how to share (email, save to Files, AirDrop)

The exported file lands wherever you specify.

If you don’t have Pages installed

This is the harder case. .pages is actually a ZIP-like package containing XML and a PDF preview inside.

On Mac (Pages not installed):

• iCloud.com → upload .pages → opens in browser-based Pages → File → Export → choose format
• Or right-click .pages → “Show Package Contents” → look for the Preview PDF inside (lower quality but the content is there)

On Windows:

• No native option to open .pages files
• iCloud.com works if you have an Apple ID — upload, open, export
• Or rename .pages to .zip, extract — you may find a Preview PDF inside the package
• Or ask the sender to re-export in a different format

Online conversion services: many exist but require uploading the .pages file. Privacy concern for confidential documents.

The iCloud.com workflow (works on any platform)

This is the universal answer for non-Mac users:

1. Sign in to iCloud.com with any Apple ID (free to create)
2. Open Pages in iCloud
3. Drag in or upload the .pages file
4. Open the document in browser-based Pages
5. Tools menu → Download a Copy → choose format (Word, PDF, EPUB, ePub, Plain Text)
6. Download the converted file

Works on Windows, Linux, anywhere with a modern browser. Free.

What gets preserved

When converting .pages → .docx or .pdf:

Preserved:

• Text content
• Basic formatting (bold, italic, headings)
• Fonts (if available on destination system)
• Images
• Tables
• Page layout (approximately)

Sometimes lost:

• Custom Pages-specific formatting
• Embedded media not supported in target format
• Smart Annotations (handwriting on iPad)
• Some advanced layout features

For a typical document (letter, report, paper), conversion is clean. For documents heavy on Pages-specific features (custom shapes, advanced typography), expect some manual cleanup.

Going the other direction: Word/PDF to Pages

To open .docx or .pdf in Pages:

1. Open Pages
2. File → Open → choose the .docx or .pdf
3. Pages converts on import
4. Edit and save as native .pages going forward

Or drag into Pages window directly.

PDF imports are particularly limited — Pages treats PDFs more like images than editable documents. Convert PDF → Word first if you need full editability (PDF to Word conversion is hard — Adobe Acrobat Pro or specialized tools work best).

Numbers and Keynote: similar story

Apple’s spreadsheet (.numbers) and presentation (.key) formats have the same situation:

• Numbers → export to .xlsx for Excel compatibility, or CSV for universal
• Keynote → export to .pptx for PowerPoint, or PDF for static viewing

Same workflows: open in the appropriate app on Mac/iPhone/iCloud.com, export to needed format.

What to use when

Always have access to Mac/iPhone: use Pages directly, export as needed.

Sharing with Windows users regularly: export to .docx rather than .pages from the start. Less conversion friction.

Sharing once, never again: PDF is the safest choice — works everywhere, no further editing needed.

Collaborative editing: switch to Google Docs entirely. Pages doesn’t do real-time multi-user editing as well.

Privacy when using online services

If you use iCloud.com (Apple), the document goes through Apple’s servers but stays within your account. Standard cloud service privacy applies.

If you use third-party “convert .pages online” services, you’re uploading to an unknown company. For sensitive documents, avoid these — use Mac/iCloud.com instead.
