How to Electronically Sign a PDF

Signing PDFs is a daily workflow — contracts, forms, agreements, applications. The traditional approach (print, sign, scan, send) is tedious and lossy. Every major OS has built-in tools for adding signatures digitally.

On Mac: Preview’s signature feature

Preview, the default PDF viewer on Mac, has signature capture and insertion built in:

1. Open PDF in Preview
2. View → Show Markup Toolbar
3. Click the Signature icon
4. Create a signature:
   • Trackpad: sign with your finger
   • Camera: sign a paper, hold it up to your Mac’s camera
   • iPhone: sync from your phone (drawing on the iPhone screen)
5. Drag the signature into your PDF
6. Resize and position
7. File → Save

The signature is saved for reuse — next time you sign a PDF, your signature is already available.

On iPhone/iPad: built-in Markup

In any PDF opened in Files, Mail, or Messages:

1. Tap the PDF to open
2. Tap the Markup icon (pencil)
3. Tap the + at the bottom
4. Tap Signature
5. Create a new signature or reuse a saved one
6. Drag to position, resize as needed
7. Save or share

With Apple Pencil on iPad: handwritten signatures feel natural.

On Windows: Edge browser or Adobe Reader

Microsoft Edge:

1. Open PDF in Edge
2. Use the drawing/signature tools in the toolbar
3. Draw your signature with mouse or stylus
4. Save

Adobe Reader (free):

1. Open PDF in Reader
2. Tools → Fill & Sign
3. Click signature placeholder
4. Type or draw signature
5. Place in document

On Android: Google Drive PDF viewer

1. Open PDF in Drive
2. Tap the pencil icon
3. Drawing tools available
4. Save when done

When you need a real digital signature

The methods above add a drawn image of your signature — looks like a signature but doesn’t have cryptographic validity. For legal weight:

Adobe Sign (paid): adds cryptographic audit trail.

DocuSign: industry-standard digital signing.

HelloSign / Dropbox Sign: similar.

SignNow / PandaDoc: alternatives.

These services:

• Provide an audit log of who signed when
• Use cryptographic methods to detect alterations
• Have legal recognition (depending on jurisdiction)

For internal “I’m acknowledging this” purposes: drawn signature is fine. For binding contracts requiring legal validity: use a digital signature service.

Creating a reusable signature image

If you frequently sign documents in different apps:

1. Sign a piece of white paper
2. Photograph it with phone
3. Convert to PNG with transparent background (use AI bg removal like Remove.bg)
4. Save the signature as signature.png
5. Insert as image in any PDF editor

The transparent background lets your signature appear naturally on the document.

Initials and dates

Beyond signatures:

Initials: similar workflow as signature. Some PDF editors offer “initials” as a separate signature type.

Date: many PDF editors have a “Date” stamp that auto-fills today’s date. Useful when signing contracts that require date alongside signature.

What to put on the signature line

For most documents:

• Your handwritten/drawn signature (looks like your physical signature)
• Your typed name below (for clarity)
• Date somewhere visible

For specific document types:

• Contracts: full legal name, date
• Letters: signature only is fine
• Tax forms: signature, date, sometimes additional fields

After signing

Save and email: most workflows end here.

Does the recipient need to do anything? No — they receive a signed PDF, which they can open and read normally.
